Privacy Policy

1. Who we are

Talenfra (“Talenfra”, “we”, “us”) builds AI screening systems for recruiting and staffing firms. We are operated by Mohd Aqib, a sole proprietor trading as Talenfra, based in Lucknow, India. For any privacy question, contact us at contact@talenfra.com.

This policy explains what personal data we handle, why, and the choices you have. It covers two different situations: (a) people who visit this website or contact us, and (b) candidate data we process on behalf of our clients when delivering a screening system.

2. Information we collect

When you contact us

Through our contact form and email, we collect what you choose to send us, which may include:

• Your name and the name of your firm
• Your work email address, phone number, and website
• The ATS you use, your monthly role volume, and the screening problem you describe
• Any other details you include in your message

When you use the site

We may collect limited technical data such as your browser type, device, and approximate location from server logs. We also use Google Analytics (GA4) to understand how visitors find and use the site, and the Meta (Facebook) Pixel to measure the performance of any ads we run and actions taken on the site. Both load only if you choose “Accept all” in our cookie banner; until then, Google Consent Mode keeps analytics storage disabled, the Meta Pixel is not loaded, and no analytics or advertising cookies are set.

Candidate / CV data (processed for clients)

When we run or build a screening system for a client, we process candidate data (CVs and related information) on that client’s behalf. In data-protection terms the client is the controller and Talenfra is the processor. We only process this data to provide the agreed screening service.

3. How we use information

• To respond to your enquiry and deliver the free screening audit you requested
• To provide, operate, and improve the services we are contracted to deliver
• To communicate with you about your project, scheduling, and support
• To meet legal, accounting, and security obligations

We do not use candidate CV data to train any shared or public model. Candidate data stays inside the pipeline we build for each client.

4. Legal basis (UK/EU GDPR)

Where GDPR applies, we rely on the following legal bases:

• Legitimate interests — responding to your enquiry and running our business
• Contract — performing the services agreed with a client
• Consent — where you have given it (you can withdraw at any time)
• Legal obligation — where the law requires it

For candidate data, the client (controller) is responsible for the legal basis; we act on their instructions under a data processing agreement.

5. Sharing and sub-processors

We do not sell personal data. We share data only with service providers who help us operate, such as:

• Netlify — website hosting
• Resend — delivering contact-form messages to us
• Namecheap Private Email and Google (Gmail) — receiving and managing email you send us
• Google Analytics (Google LLC) — website usage analytics, loaded only if you accept non-essential cookies
• Meta Platforms, Inc. (Meta / Facebook Pixel) — advertising measurement and website-action tracking, loaded only if you accept non-essential cookies
• Calendly — the booking scheduler embed, which loads only if you accept non-essential cookies

Each provider processes data under its own terms. A current list of sub-processors used for client work is available to clients on request.

6. International transfers

We are based in India and serve clients in the US, UK, EU, and Australia, so data may be transferred across borders. Where required, we put appropriate safeguards in place (such as Standard Contractual Clauses) and, for client work, can agree to process data in a specified region.

7. Data retention

We keep enquiry data only as long as needed to respond and for our records, and delete it within 24 months if you do not become a client. For client projects, candidate source files are retained and deleted on the schedule agreed in the relevant contract or DPA — by default, within 30 days of a project’s completion unless the client instructs otherwise.

8. Your rights

Depending on where you live, you may have the right to access, correct, delete, or port your data, to object to or restrict processing, and to withdraw consent. To exercise any of these, email contact@talenfra.com. If your data is processed by us on behalf of a client, we will direct your request to that client. You may also complain to your local data-protection authority.

9. Cookies

This site uses essential storage required for it to function. Our embedded booking scheduler (Calendly) may set its own cookies — it loads only if you choose “Accept all” in our cookie banner. Our demo video is hosted on this site and sets no cookies. If you choose “Necessary only”, non-essential cookies are not set. You can change your choice at any time by clearing this site’s data in your browser. We use Google Analytics cookies to measure site usage and the Meta (Facebook) Pixel for advertising measurement — both are set only if you choose “Accept all”, and never if you choose “Necessary only”.

10. Security

We use reasonable technical and organisational measures to protect personal data. No method of transmission or storage is completely secure, but we work to protect your information and to limit who can access it.

11. Changes to this policy

We may update this policy from time to time. The “last updated” date above reflects the latest version.
