This policy explains what personal data we handle, why, and the choices you have. It covers two different situations: (a) people who visit this website or contact us, and (b) candidate data we process on behalf of our clients when delivering a screening system.

When you contact us

Through our contact form and email, we collect what you choose to send us, which may include:

• Your name and the name of your firm
• Your email address
• The ATS you use, your monthly role volume, and the screening problem you describe
• Any other details you include in your message

When you use the site

We may collect limited technical data such as your browser type, device, and approximate location from server logs. We currently do not run third-party analytics. If that changes, this policy and our cookie information will be updated.

Candidate / CV data (processed for clients)

When we run or build a screening system for a client, we process candidate data (CVs and related information) on that client’s behalf. In data-protection terms the client is the controller and Talenfra is the processor. We only process this data to provide the agreed screening service.

3. How we use information

• To respond to your enquiry and deliver the free screening audit you requested
• To provide, operate, and improve the services we are contracted to deliver
• To communicate with you about your project, scheduling, and support
• To meet legal, accounting, and security obligations

We do not use candidate CV data to train any shared or public model. Candidate data stays inside the pipeline we build for each client.

4. Legal basis (UK/EU GDPR)

Where GDPR applies, we rely on the following legal bases:

• Legitimate interests — responding to your enquiry and running our business
• Contract — performing the services agreed with a client
• Consent — where you have given it (you can withdraw at any time)
• Legal obligation — where the law requires it

For candidate data, the client (controller) is responsible for the legal basis; we act on their instructions under a data processing agreement.

5. Sharing and sub-processors

We do not sell personal data. We share data only with service providers who help us operate, such as:

This site uses essential storage required for it to function. Embedded tools such as scheduling or video may set their own cookies — these load only if you choose “Accept all” in our cookie banner. If you choose “Necessary only”, non-essential cookies are not set. You can change your choice at any time by clearing this site’s data in your browser. We do not currently run advertising or analytics cookies.

10. Security

We use reasonable technical and organisational measures to protect personal data. No method of transmission or storage is completely secure, but we work to protect your information and to limit who can access it.
